Annual Meeting General Information

 


Our Ship:
Celebrity Reflection is a mid-size ship that offers a great array of lounges, food options & entertainment. At 125,000 gross tons, Celebrity Reflection is the perfect size to balance a multitude of amenities with an intimate feel.  

Itinerary
This four-night cruise will depart from Ft. Lauderdale, FL on Monday, January 26. We will have one day at sea and two ports of call on this itinerary. The ship will return to Ft. Lauderdale early Friday morning, where guests will disembark to return home. Please do not book return flights prior to 11:00 AM to ensure you have sufficient time to disembark and get to the airport in plenty of time for your flight.

Pre-Cruise Hotel Options:
If you are flying into Ft. Lauderdale the night before (always a good idea in the winter) we board Celebrity Reflection, there are many hotel options near the airport. Many have complimentary airport shuttles and some provide shuttle service to the ship. Port Everglades is a quick Uber/Lyft or taxi ride to the ship if your hotel does not have a port shuttle. Check with your selected hotel to ask about airport and port shuttles as these services can change.

Here are a few hotel options in the airport/cruise port area. January is prime cruising season so PLEASE book a hotel immediately if you plan to fly into Ft. Lauderdale on Sunday, January 25. Book now as prices will continue to increase as we approach January.

Annual Meeting Attire

Attire for the cruise is casual except for one evening called “Chic Night.”  This is a step up from casual but not formal. Our President’s Reception will be this evening.

Weather
Weather in Key West and the Bahamas in January is usually highs of mid-70s and lows of mid-60s. It can be rather breezy onboard, so a jacket or sweater is recommended for the evening.

FAQs
What is NOT included in the cruise fare?
Additional expenses will include airfare to and from Ft. Lauderdale, transportation to and from the port, pre-cruise hotel (if arriving the night before), purchases made in onboard shops, the spa & casino, specialty restaurants and any expenses incurred while ashore.

Do I need a passport?
YES, you will need a passport! We will be traveling in international waters and will be required to show passports to clear customs upon returning Ft. Lauderdale. You will be denied boarding without a valid passport. REMEMBER: Passports should be good for at least 6 months after the end of the meeting! Check your passport expiration date now.

Will I get seasick?
While sea conditions cannot be predicted, ships of this size are equipped with stabilizers that minimize motion under normal conditions. For those who are prone to motion sickness, over-the-counter medications, skin patches, and pressure point wrist bands can be helpful.

Will there be long lines?
Embarkation is typically a very quick process without long lines. More information on how to check in will be sent by the end of the year. You will have to check in on line just as you do for a flight. Getting off and on the ship in port is normally a quick process as well.

Will I feel claustrophobic?
The inside of a cruise ship is very similar to the inside of a large hotel. Reflection has plenty of space to “get away” from it all if you prefer a quiet place to sit and read. She is filled with beautiful lounges, dining areas outdoor deck, pools and spaces to prevent anyone from feeling claustrophobic.

Can I book through my own travel agent or the cruise line?
No! In order for you to receive the IHEA rates and participate in the Annual Meeting on the ship, you must book through IHEA. NOTE: Our cruise fare is only available through December 1.

Are there specific airlines/flights to book? When should I book my flight home?
Ft. Lauderdale is served by a wide variety of airlines. Check out several to ensure the best airfare. To ensure you have sufficient time to disembark the ship and get to the airport, we recommend flights departing  Fort Lauderdale after 11:00 AM.

When can I board?
Boarding typically starts about 11:00 AM on embarkation day but you will be assigned a specific time to show up and board when you are checking in on-line prior to the cruise. Again, we will provide check-in instructions before the end of the year. Plan to be onboard at least two hours prior to sailing. Sailing time is 4:00 PM.

What if I need to cancel?
We know, especially today, that occasionally something comes up and you need to cancel. Celebrity has specific cancellation policies for groups as follows:

  • No penalty for new bookings only if your reservation is cancelled before November 27, 2025. No cruise cancellations after that time.

What about trip insurance
We highly recommend purchasing trip insurance to cover the cost of your cruise should you need to cancel after final payment. If you need to purchase trip insurance, we recommend using www.insuremytrip.com. You simply enter the cost of the cruise and your birthdate and it will provide several insurance policies for purchase at a reasonable price.
